City Clerk Office Staff
The City Clerk's Office is responsible for keeping the official records of the City. This includes all of the minutes, ordinances, contracts, and resolutions. We maintain custody, control, filing, and storage of all these records and other written and recorded documents and materials pertaining to the operation of the City.
The City Clerk attends and takes the minutes of the regular City Council meetings, Special City Council meetings, Public Hearings, Executive Session meetings and Township meetings. The Clerk also serves as the secretary for the Police Pension Board, as well as keeping the minutes and all of the records for the retired firefighters and police pensioners.
The City Clerk's office keeps records for Linwood and East Linwood Cemeteries. All lots and other burial transactions are handled by the City Clerk's office. Deeds are prepared through our office and staff maintains all deed books. All Scattering Garden Records are also maintained by our office. These records are not only used for burial purposes but also genealogy records. The City Clerk's office maintains an excellent working relationship with the Cemetery Sexton as we work together on a daily basis.
One of our main philosophies is to continue to provide prompt, courteous, and knowledgeable service to our customers and to continue to ensure proper implementation of the law, and provide effective access to official records and distribution of information. We strive to maintain a professional office using modern technology, which in turn assists us in working efficiently while focusing on fiscal responsibility. We also keep up-to-date on changing laws, State Statues and legislation by focusing on continued education courses offered though MCI and IIMC.
The City Clerk’s Office is responsible for maintaining a database of general contractors and electrical and heating contractors and providing this information to the general public and City inspectors. A database for rental property is also maintained and the Clerk’s office and we work closely with the Fire Department and their Rental Property Inspection Program.
The City Clerk's Office keeps track of all of the Boards and Commissions and the terms of office and current membership.
